DEPARTMENT: OFFICE OF THE UNIVERSITY SECRETARY

Position:              Deputy University Secretary (Administration)

Salary Scale:        M4

Reports to:           University Secretary

Number of posts: One (1)

 Job summary:

 To deputize the University Secretary in the management of university assets and resources as well as assisting him/her in providing secretariat services to the University Council and other committees.

 

Duties and responsibilities

 The incumbent shall be responsible for: 

  1. Deputizing the University Secretary in execution of his/her mandate as prescribed by Law.
  1. Supporting the University Secretary in policy formulation.
  1. Supporting the University Secretary in drafting memoranda and other documentation to Council and its committees.
  1. Coordinating the secretariat activities of the University Council and Council Committees.
  1. Providing secretariat services to the Top Management Committee.
  1. Supervising Security, University Clinic and Registry staff.
  1. Coordinating the various units of the university to ensure proper general administration.
  1. Coordinating matters of transport/fleet management.
  1. Overseeing the management/disposal of university assets.
  1. Preparing annual and quarterly reports
  1. Performing any other duties that maybe assigned from time to time.

 

Qualifications and experience:

 The ideal candidate:

  • Must hold a Master’s degree in any of the following fields: Law, Public Administration and Management, Education Management, Business Administration or Management Studies from a recognized institution.
  • Must possess an honours bachelor’s degree in Law, Public Administration and Management, Education, Social work and Social Administration, Business Administration (Management option), Bachelor of Commerce (Management option) or Development Studies from a recognized institution.
  • Possession of a Certificate in Administrative Officers’ Law Course is an added advantage.
  • Should have a minimum of 12 years working experience demonstrating increasing levels of responsibility, 4 of which should have been served as Senior Assistant Secretary or equivalent and relevant level of experience in administration in a reputable organization.
  • Must not be above 55 years of age at the time of application.

Tenure of appointment

 The Deputy University Secretary shall be appointed on permanent terms.
